Our client, a Global Services Company is looking to hire an Executive/Personal Assistant to support a high-powered CEO of their Global Commercial Real Estate Group. 
ROLES & RESPONSIBILITIES:

Coordinate all calendar and schedule management for the Company’s Partners
Serve as a first point of contact for incoming calls, using sound judgment in screening and responding to inquiries, prioritizing calls that need immediate attention, and triaging/resolving as appropriate
Coordinate extensive and complex travel arrangements, including international for the Company’s partners, including business expense reimbursement and event registrations (when necessary)
Assist with daily time entry for the Company’s Partners
Update and keep current computer, network and paper filing system to ensure quick and easy access or all information
Maintain a high level of executive support skills including excellent communication, grammar, and proofreading skills
Support the Senior Managers, Managers, and Operations Specialist by providing ad hoc project coordination support for key strategic and operational initiatives including lead tracking and client engagement support and operational tasks such as Fed-ex, supplies, new hire support and general office issues
Provide general administrative support for a wide range of activities and projects undertaken on an as-needed basis by the practice group including meeting/room/AV scheduling, arranging of meal service, correspondence, agenda and minutes management, and tracking and ensuring follow-up on all relevant active issues
Compose, prepare and distribute written materials for the Partners and Senior Leadership team using sound judgment including correspondence, memos/letters, agendas, presentations, and minutes.
Establish effective working relationships with all colleagues at the Company, and other internal/external entities and maintains effective working relationships with leadership, administration, staff and departments
Perform other related duties and responsibilities as required/requested

 
QUALIFICATIONS:

Five plus years of dynamic administrative experience
Bachelor’s Degree in Business Administration or equivalent field of study preferred
Previous experience in a professional services firm preferred
Proficiency in coordinating complex travel arrangements, domestic and international
Intermediate to advanced level skills using MS Word, MS Excel, Outlook, PowerPoint, and Adobe Acrobat
Strong typing and proof reading abilities
Willingness to work overtime when need be in order to meet demands of Partners and team
