Position Summary
The Project Coordinator supports the management and staff corporate wide for all locations in Idaho and Utah with logistics for assigned projects across locations to ensure project development stays on track and meets agency processes and guidelines. 
The Project Coordinator assists management and staff in the communication of relevant project information to the team (e.g. status, issues, and deliverables). They assist in the planning and organizing of project activities with internal cross-functional and cross-geography team members in order to ensure the error-free, on-time, on-budget delivery of projects.
Job Responsibilities 

Route projects within the internal software and technology platforms to ensure that agreed upon schedules and deliverables are met and work with internal team members to resolve or escalate critical issues.
Communicate effectively with and provide on-going project updates to internal team members to ensure that project development meets agency standards and client expectations.  
The Project Coordinator will compile and track a list of daily action items and provide updates to the team including Project Management, Account Management, Creative, and Tenant, Rental, and Property Management staff on communications regarding various aspects of a project.
Schedule and actively engage in meetings pertaining to assigned projects to stay informed of each projects current status and confirm that tasks are accomplished and project status is current.  Project Coordinator is responsible for coordinating all meeting logistics as directed by the management team.
Assure that all internal systems, software, and files include updated job estimates, briefs, timelines, job specifications, and client/staff communications.
Work closely with assigned staff to ensure timeline, estimates and overall project development is within operational parameters.  Working with assigned staff, creates initial project timelines, and estimates based on scope of work.   
Prepare and submit approved project materials including to meet project submission deadlines.
The Project Coordinator will forward estimate approvals to management, open and close jobs, resource internal team members to appropriate jobs, and generate weekly financial and tracking reports.
Provide administrative support to management and staff to increase team efficiency by performing various administrative duties including, but not limited to,  answering phones, filing, faxing, copying, mail services, creating PO’s, processing invoices; documenting  activities of the project team, such as meeting notes, agendas, status reports, etc; schedules meetings; helps coordinate and maintain project documentation including status reports, service reports, change requests, project schedules/timelines, budgets, and post mortem reviews.

 
Education and Experience

Minimum 2 years administrative/office or project management support required
High level of computer competency and associated software (MS Project, Excel, Word, PowerPoint) required
Strong organization skills and attention to detail
Must possess a strong team orientation and excellent interpersonal, verbal and written communication skills
Ability to problem solve and demonstrate influencing skills
Ability to organize and prioritize coordination of multiple projects/assignments
Regularly exercise judgment and discretion in order to keep projects inline
Ability to set priorities and adapt to changing situations quickly 
Ability to acquire and develop a high level of skills and abilities from hands-on training
Excellent customer service.
Ability to work collaboratively with a multidisciplinary team
Ability to provide an organized, efficient approach to property management
Ability to make decisions quickly and independently
Possess polite, confident and excellent customer service skills, including listening and questioning
Strong attention to detail
Quick learner
Must have a strong work ethic and self-motivated. 
Excellent interpersonal skills
Reliable transportation and cell phone required
Knowledge/experience in vendor/work order supervision, minor accounting, contract management, conflict resolution, marketing, office equipment (phone systems, fax, copier, scanner), and scheduling highly preferred.
High school education or equivalent.
